Artwork Proof, Review, and Approval Process

Bringing your vision to life is a team effort. Here is everything you need to know about our digital proofing process, which guarantees you the opportunity to review layouts, request unlimited changes, and confidently sign off on your custom awards before production begins.

What is an artwork proof?

An artwork proof is a preliminary digital mock-up of a design that is used to check for errors before final production. Not only does it help ensure accuracy, it helps to visualize the look and feel of the design before production begins.

Will I receive an artwork proof with my order?

Yes, every order receives an artwork proof (in pdf format) that is created by our graphic designers and based on your details and instructions. Once you have provided all of your personalization details, you can expect your artwork proof in 2-3 days on standard orders and even sooner on rush orders.

Can I request changes to my artwork proof?

Yes, you can request unlimited design revisions at no charge. We will continue to update your designs until you approve the proof. We will never produce anything that you haven’t approved, so your timely review and approval is important to maintain timelines.


How do I review my artwork proof?

Your review of the artwork proof is the final line of defense in ensuring that all information is correct and as you want it to look. Your proof review is the important part of the process, so set aside a few minutes without distractions and give it your full attention. We will email you with a link to your artwork proof that will look like this:

Click on the big bold blue text, which contains a link that will open you to your digital artwork proof PDF where you can review the layout of every piece in your order. This is where you will want to check for:

  • Spelling, grammar, punctuation and capitalization of all names and text
  • Accuracy of any years and dates
  • Logos and fonts are correct and appear as you want them to

If you want to provide any changes or edits, you can either email graphics (@)eclipseawards.com or highlight the areas in question and use the “comment feature” within the proof. Simply click "comment", then use the curser to highlight the section you wish to see revised. A comment box will pop up where you can type out your requests.

Ultimately, our shared goal is to get your designs finalized with your artwork approval. 

Do I have to review my artwork proof?

Yes, this is the most important stage of your whole order. We require your artwork approval before we can produce your order, and your order is produced using the artwork you approve. Your close review and feedback are vital as any errors that are not caught here will appear on the final pieces.

Can I make changes after I approve my artwork proof?

In a word, no. Your artwork approval marks the end of the design process and the start of the production process. Production files are prepared immediately upon your approval so that we can start making your order.

Any design changes after artwork approval will be subject to a charge.

Can I request changes to my artwork proof?

Yes, you can request unlimited design revisions at no charge. We will continue to update your designs until you approve the proof. We will never produce anything that you haven’t approved, so your timely review and approval is important to maintain timelines.

What if I discover an error after I’ve approved the artwork proof?

Your designs and artwork proofs are created by real people, using information that you have provided, so it is possible for errors to occur. Though we take every step to eliminate and avoid mistakes through the approval process, sometimes they do slip by everyone. In our experience, it happens once every 1500 orders or so. In the unlikely event that an error occurs, the following policies will apply:

Scenario #1 - client provides details with an error, Eclipse produces artwork proofs with that error, the error is not discovered in the review stage. The proof is approved by the client and the order is produced with the error.


Remedy: Eclipse Awards will provide a 20% courtesy discount on any replacement pieces and updated artwork proofs will be created for approval. Standard timeline and shipping rates will apply. If the client requests a rush service, a 20% courtesy discount will be applied to any rush service selected, along with a 20% discount on rush shipping charges.

Scenario #2 - client provides correct details, Eclipse introduces an error in the artwork proofs that is not discovered in the review stage. The proof is approved by the client and the order is produced with the error.


Remedy: Eclipse Awards will provide a 50% courtesy discount on any replacement pieces and updated artwork proofs will be created for approval. Our standard timeline will apply and Eclipse Awards will offer free shipping. If the client requests a rush service, a 75% courtesy discount will be applied to any rush service selected, along with a 50% discount on rush shipping charges.
